Protecting customer data is critical to how Swash Cleaning Ltd operates. This policy explains what data we collect, why we collect it, and the controls you have when you interact with Swash products such as the quote calculator, subscriber dashboard, and admin portal.

2. Information we collect
- Account details – names, email addresses, telephone numbers, billing contacts, and authentication metadata supplied when creating an account or submitting a quote.
- Service data – property addresses, cleaning schedules, route-planning information, and cleaner assignments stored in Firestore.
- Usage data – device type, browser details, IP addresses, and feature usage tracked for security and performance monitoring.
- Payment references – tokens returned by GoCardless when mandates are authorised. We do not store full bank account numbers.
3. How we use data
- Provide, maintain, and improve the Swash software suite.
- Send operational notifications such as booking confirmations, billing reminders, and outage alerts.
- Detect misuse or suspicious logins and protect accounts.
- Comply with legal obligations, accounting requirements, and law-enforcement requests.
4. Data sharing
We only share information with trusted processors required to deliver the service:
- Google Firebase for authentication, database, and hosting.
- GoCardless for mandate management and Direct Debit processing.
- EmailJS and transactional email partners for customer communications.
- Analytics and monitoring vendors to keep the platform reliable.
Each third-party processor is bound by a written agreement and cannot use your data for their own marketing.
5. Data retention & security
Operational data is retained while you are an active customer and for up to 7 years afterwards to meet HMRC and FCA record-keeping requirements. Quote submissions that never convert are routinely purged after 24 months.
All data is encrypted in transit (HTTPS/TLS 1.2+) and at rest within Google Cloud in the UK/EU. Access to production systems is restricted to named Swash Cleaning Ltd personnel using MFA.
6. Your rights
- Request a copy of the personal data we hold.
- Ask us to correct inaccurate details.
- Request deletion when data is no longer required (subject to legal limits).
- Withdraw marketing consent at any time.
